CW Sports Terms & Conditions

By booking any activity with CW Sports, you agree to the following Terms & Conditions.

1. Bookings & Payment

  • All bookings must be made through our booking system unless otherwise agreed.
  • Payment must be made by the stated deadline.
  • A child's place is only confirmed once payment has been received or an agreed payment arrangement is in place.

2. Medical Information

Parents/guardians are responsible for providing accurate medical, allergy and emergency contact information and for keeping these details up to date.

3. Behaviour

All children are expected to behave respectfully towards staff, other children and equipment.

CW Sports reserves the right to remove a child from an activity if their behaviour places themselves or others at risk, or seriously disrupts the session. No refund will be issued in these circumstances.

4. Collection of Children

Parents/guardians are responsible for ensuring their child is collected promptly at the end of each session. If somebody different will be collecting your child, please inform a member of the CW Sports team in advance where possible.

5. Late Collection Charges

After-School Clubs

  • Clubs finish at 4:15pm.
  • A 5-minute grace period is provided.
  • Children collected after 4:20pm will incur a late collection charge of £1 per minute until they are collected.

Holiday Camps

Standard Day (9:00am–3:00pm)

  • Collection is by 3:00pm.
  • A 5-minute grace period is provided.
  • Children collected after 3:05pm will incur a late collection charge of £1 per minute unless a late stay has been booked.

Late Stay (8:00am–5:00pm or booked until 5:00pm)

  • Collection is by 5:00pm.
  • Children collected after 5:00pm will incur a late collection charge of £1 per minute.

Late collection charges help cover additional staffing costs and safeguarding responsibilities.

Persistent late collection or unpaid late fees may result in future bookings being suspended or your child's place being withdrawn until outstanding charges have been settled.

6. Cancellations & Refunds

Refund requests are reviewed on a case-by-case basis. Refunds, credits or transfers are not guaranteed and remain at the discretion of CW Sports.

7. Photography & Video

Photographs and videos may be taken during sessions for promotional purposes where appropriate consent has been provided.

8. Illness

Children should not attend if they are suffering from a contagious illness or are too unwell to participate safely.

9. Personal Belongings

Children should not bring valuable items to sessions unless required.

CW Sports cannot accept responsibility for any lost, stolen or damaged personal belongings.

10. Safety

Parents must ensure children arrive with suitable clothing, footwear and any equipment required for the activity.

11. Agreement

By completing a booking, you confirm that:

  • The information provided is accurate.
  • You agree to these Terms & Conditions.
  • You understand and accept the late collection charges.
  • You accept responsibility for ensuring your child is collected on time.
  • You understand that persistent late collection or unpaid fees may result in future bookings being refused until all outstanding balances have been paid.
