CW Sports Half-Term Camp – Terms & Conditions

1. Registration & Booking
All children must be registered in advance via the official registration form.
Places are allocated on a first-come, first-served basis.
Early Bird discounts apply only if payment and registration are completed before the date shown on the form.

2. Payment
Payment must be made according to the chosen package (daily or weekly).
Late pick-up fees (£5 per 5 minutes) will be added to your payment if applicable.
Any unpaid balances may result in your child not being able to attend the camp.

3. Arrival & Collection
Standard camp hours: 9am–3pm.
Early Drop-Off: 8am–9am, Late Pick-Up: 3pm–5:00pm.
Children must be collected promptly. A £5 charge per 5 minutes applies for late collection.

4. Health & Safety
Parents must provide accurate information regarding medical conditions, allergies, or dietary requirements.
Staff are trained to administer minor first aid. In the event of a medical emergency, parents or emergency contacts will be contacted immediately.

5. Behaviour & Conduct
Children are expected to follow staff instructions and behave respectfully towards other participants.
CW Sports reserves the right to exclude a child from activities if their behaviour is unsafe or disruptive.
Behaviour Code of Conduct:
Treat all staff, children, and visitors with respect.
Follow instructions from all CW Sports staff.
Use equipment and facilities safely and responsibly.
Bullying, aggressive behaviour, or deliberate damage to property will not be tolerated.
Persistent inappropriate behaviour will result in a warning, parent contact, and may lead to exclusion from the camp.

6. Clothing & Equipment
Children should wear suitable sportswear and footwear for all activities.
CW Sports is not responsible for lost or damaged personal items.

7. Photography & Media
Photographs or videos may be taken during the camp for promotional purposes.
Parents must indicate consent on the registration form.

8. Cancellation & Refunds
All cancellations and refund requests will be reviewed on a case-by-case basis.
Refunds are not guaranteed and will be at the discretion of CW Sports.
No refunds will be given for non-attendance or late arrivals.

9. Emergency Medical Treatment
In the event of a serious emergency where parents or guardians cannot be reached, CW Sports staff may seek medical treatment for the child as deemed necessary.

10. Liability
CW Sports, its staff, and the venue cannot accept liability for personal injury, loss, or damage to property while attending the camp, except where legally required.
Children’s safety is our priority, and all reasonable precautions will be taken.

11. Data Protection
Personal information collected for registration will be stored securely and only used for camp administration purposes.
By registering, parents consent to CW Sports storing and processing this data.
